Do More Marketing, Spend Less Time: How a Virtual Assistance Can Streamline Your Business

I get asked all the time - “What can a Virtual Assistant do for my business?” There’s a myth around VAs and what they actually do. Not all VAs are the same and not all can do the same tasks. That’s why as a marketing strategist and coach, I work hard to know the “right” VAs to recommend to my clients, based on their tasks and skills needs.

I got the chance to speak with some talented VAs (all within the US) that I know and have them assist me in explaining how they best help their clients. I bet some of you will learn a lot and be happily surprised on what a VA can do!

Aren’t sure where to even begin in working with a VA? I can coach you through it! Let’s talk more on a Discovery call about how I can help you start using a VA!

A VA can take over the smaller time-consuming tasks that a business owner has to do, such as invoicing customers, updating websites, posting on social media, reading and managing emails, answering client questions, scheduling meetings, etc.

In 6 months since working with one client, his business has grown from 8 clients to 12 clients, and my hours working with him has increased from 8 to 20 per month. We visited a car show this past July and, working together, were able to meet several high potential clients. He no longer has to worry about making sure meeting reminders and notes from those meetings are sent to clients either. Next month we are re-starting his marketing campaign and reach-outs because he now has time to nurture those prospects and contract with more clients.

A virtual assistant can help a busy business owner focus on their brilliance. The transformation part could come from improving their professional appearance through marketing materials, making their presence known through social media/newsletter, as well as daily tasks like sending or paying invoices. The online research part of my business can scale up their business by finding leads, contacting them via phone/email, and sending them marketing materials.

Some virtual assistants are generalists, and some are specialists. I specialize in graphics, and through my art and design background, can take a business' appearance from ho-hum to WOW! If a solopreneur is starting from scratch, or even mid-career, I can help them level up and save time in three categories: Graphics/Video, Social Media and Administrative Assistant tasks. I just helped a business owner with a Facebook post, and one of her clients said, "How did you make that flyer (post)? When did you become so graphically talented?"

I helped the owner of a cooking company; He used to design and send his weekly newsletters, and social media graphics, but this took too much time away from his classes and presentations. By hiring me, I saved him energy and time to allow him to focus on what he does best.

A Virtual Assistant can help you have processes and systems in place to streamline your daily operations, having this support for all the backend tasks in your business will bring you more ease into your days, less stress and overwhelm. This will help you know what’s going on in your business and what are the next steps you need to focus on to continue growing.

An example of how I have helped my clients is that they get peace of mind knowing that the things they have delegated are being taken care of and they are being completed in the right way. They have been able to launch their programs, new services, and get more clients because they are focusing on their zone of genius that keeps their business growing. I also love helping my clients with improving their processes and offering suggestions to things that we could improve and make things easier for them.

Virtual Assistants can offer more than just administrative help. Many solopreneurs started their business because they are experts in their field and can serve their clients at a high level. However, as every business owner knows, your business doesn’t run itself; you need someone to steer that ship and maintain stability. Whether or not that person is yourself or you bring in external help, it’s a priority that can’t be overlooked. Hiring a great Virtual Assistant is often a great solution, however, knowing HOW to leverage a great Virtual Assistant is the key!

One of my clients who owns a consulting firm found themselves struggling to prepare to roll out a new membership program for the firm’s clients. The owner of the firm was under a lot of stress and was having trouble managing everything. I could tell they needed someone to manage the entire project and the rollout itself, so I pitched the idea of my stepping in as the project manager.

This included working with other employees and contractors in the company, managing materials, creating forms and documents, setting up & implementing online systems for a better user experience, communicating with the ‘Project Operations Team’ so that everyone was on the same page, and testing out the user experience from start to finish. The plan was to launch by June 2021 and by mid-May, we had completed everything we intended to, minus working out a few kinks to smoothen out the user experience. I could tell that the owner of the firm was incredibly relieved that everything was completed before the internal deadline, but also excited that they could see their entire team work together and complete such a big project while they were able to maintain focus on the day-to-day operations of running the business and serving clients.

I hope this has been helpful and opened your eyes to what a VA can do for you. It’s really important to know what types of tasks and skill sets you need to fill and assume any VA will fill the role. As you read above, many of them have specialties and focuses.

Need help hiring a VA? I’ve helped many businesses hire their first VA with lots of success. I’d love to help you have more time!
